Why room allocation is one of the hardest parts of wedding coordination
For venues with on-site accommodation, room allocation is one of the most complex and error-prone tasks in wedding planning. A typical wedding with 50 overnight guests means managing dozens of individual room assignments, each with their own preferences, accessibility requirements, and family groupings.
Most venues still handle this in spreadsheets. A coordinator creates a room grid, manually cross-references it against the guest list, and emails updated versions back and forth with the couple. When changes come in (and they always do) it means updating the spreadsheet, checking for conflicts, and re-sending it to everyone who needs it.
It works, barely. But it is slow, fragile, and one missed update away from a double-booking that your guest discovers at the reception desk.

Share and iterate with the couple
Once the portal is live, the couple will review allocations through it, with changes made in real time rather than by emailing spreadsheets back and forth.

Reception, housekeeping, and coordination will all see the same live data, so check-ins, room changes, and issues can be handled on the spot.
