Wedding accommodation management, from the honeymoon suite to the shepherd's hut

Bookings, availability and housekeeping for every lodging you let, in one place. No spreadsheets, no double bookings, and a cleaning list your housekeeper opens on their phone.

Why venue accommodation is harder than it looks

If your venue has beds, you are running two businesses at once. There is the wedding side: a couple books the whole place, the family fills the rooms, and everything revolves around one date. And there is the lettings side: cottages and rooms earning their keep between weddings, with changeovers landing on any day of the week.

Most venues hold this together with a spreadsheet and a group chat. It works until it doesn't: a double booking, a cottage that wasn't cleaned before the family arrived, a maintenance problem nobody wrote down. The stakes are high precisely because the moments are big; nobody forgets arriving at an unready cottage on a wedding weekend.

We built Ceremonio's accommodation tools around the venues we know: country houses where rooms and suites come first, and working farms where cottages, lodges and huts turn over midweek as well as at weekends.

The problems this replaces

The spreadsheet knows, until it doesn't

Room lists live in a spreadsheet on one person's computer. It was right last Tuesday. Since then two bookings moved, a cottage came out of service, and nobody is quite sure which version is current.

Double bookings

Two staff members take two phone calls and the same suite ends up promised to two families. Nobody finds out until check-in day, and by then there is no good answer.

Changeover-day chaos

Who leaves today, who arrives today, which lodgings need turning around first? When the answer lives in three places, housekeeping starts the day with a meeting instead of a list.

Housekeeping works blind

The coordinator knows a guest checked out early. Housekeeping doesn't, because that update lives in an email thread they were never on. The room gets cleaned late, or worse, not at all.

What you can do with it today

Everything below is live in the product now, built for the way wedding venues actually run their lodgings.

One inventory for every kind of lodging

Rooms and suites first, then cottages, lodges and shepherd's huts. Group them by type with their own pricing and occupancy, and manage a 40-room country house or a farm with six huts in the same way.

Bookings for weddings and everything between

Link accommodation bookings to a wedding for the big weekend, or take standalone mid-week stays in the same calendar. One system knows about both, so they can never collide.

Double bookings are impossible

Overlapping bookings for the same lodging are rejected outright, and the rule is enforced in the database itself, not just the screen. Back-to-back changeovers (check-out and check-in on the same day) work exactly as you'd expect.

Housekeeping status on every lodging

Clean, needs cleaning, or in progress, visible across the team. When a booking checks out, the lodging flips to needs-cleaning automatically. Every change is logged, so you can always see who cleaned what and when.

A mobile link for the cleaning team

Housekeepers open a simple link on their phone: today's check-outs, check-ins and cleaning list, with one big button to tick each lodging as done. No app to install, no login to forget. Ticks appear on the coordinator's screen within moments, and the link can be rotated or switched off in seconds if a phone goes missing.

Maintenance alerts and out-of-service

Boiler playing up? Raise an alert against the lodging, take it out of service, and it disappears from availability and refuses new bookings until it's fixed. Resolving the alert puts it straight back to work.

Accommodation that connects to everything else

Standalone accommodation tools create data silos. Ceremonio builds accommodation into the same platform your team already uses for venue management and wedding coordination, so a wedding's lodgings sit alongside its guest list, tasks and billing.

Book a cottage against a wedding and it shows on that wedding's venue tab. Check the booking out and the cottage joins the cleaning list automatically. Tick it clean from a phone in a doorway and the coordinator's screen catches up by itself. One system, one version of the truth.

The next layer, assigning individual guests to rooms straight from the wedding guest list, is on the room allocation roadmap and will build on this same foundation.

Frequently asked questions

What is wedding accommodation management software?

It is software that helps venues run their on-site accommodation around weddings: the rooms, suites, cottages and other lodgings, their bookings, their availability, and the housekeeping work between stays. It replaces the spreadsheets and email chains most venues currently rely on with one live system the whole team shares.

What does Ceremonio's accommodation management include today?

Available now: accommodation inventory grouped by type (rooms, suites, cottages, lodges, shepherd's huts and anything else), bookings linked to weddings or taken as standalone stays, an availability view, database-enforced protection against double bookings, housekeeping statuses with a full per-lodging history, maintenance alerts with out-of-service handling, and a no-login mobile link for your housekeeping team. Guest-by-guest room allocation from the wedding guest list is the next layer on the roadmap.

How does the housekeeping mobile link work?

You create a named link in settings and share it with your housekeeping team, who bookmark it on their phones. Opening it shows today's check-outs, check-ins and cleaning list for your venue, with a button to mark each lodging as cleaned. There is no login. The link only ever shows lodging names and cleaning status, never guest contact details or prices, and you can rotate or revoke it at any time, for example when someone leaves.

How is this different from a hotel property management system?

Hotel PMS systems are built for transient guests booking individual rooms. A wedding venue's accommodation runs differently: blocks of lodgings around a wedding date, family cottages, changeover days tied to the event, and mid-week stays filling the gaps. Ceremonio is built around that rhythm, and it lives inside the same platform that manages your enquiries, proposals and weddings.

Can it handle cottages and glamping as well as hotel rooms?

Yes. Types are yours to define, so a country house hotel with rooms and suites, a farm venue with cottages, lodges and shepherd's huts, or a mix of all of them work equally well. Each type carries its own occupancy and pricing.

Does this integrate with the rest of the wedding management platform?

Yes. Accommodation is part of the full Ceremonio platform, not a bolt-on. Bookings can link to the wedding record, the wedding's venue tab summarises its accommodation, and the same team, roles and permissions apply throughout.
